Step 1: The Introduction Call
This is our first point of contact with a potential client. During this call, our in-house experts engage with the client to understand the intricacies of their business and industry. This understanding forms the foundation of our matching process.
Step 2: Engaging the Matching Expert
Once we have a clear understanding of the client’s needs, our matching expert takes over. With a comprehensive pool of highly competent virtual assistants at their disposal, the matching expert evaluates and selects a VA that aligns perfectly with the client’s requirements.
Step 3: Ensuring the Perfect Fit
In the unlikely event that the right match is not found within our existing pool, our matching expert will extend the search externally to ensure we find the perfect fit.
Step 4: Vetting the Virtual Assistants
Before any VA is introduced to the client, they undergo a rigorous selection process. This process includes interviews, tests, and training to ensure they are fully prepared and equipped to serve our clients.
Step 5: Presenting the Candidates
The client will receive a folder containing profiles of multiple potential VAs. Each profile includes a professionally formatted résumé and an introductory video, providing the client with a comprehensive understanding of each candidate.
Step 6: The Interview Process
The client is then given the opportunity to select any number of candidates for an interview. This allows the client to personally interact with each candidate before making a final decision.
Step 7: The Debriefing Call
Once a VA has been selected, we organize a debriefing call where we gather more specific information about the system the assistant needs to be trained for. If the client doesn’t find a suitable candidate from the initial pool, we provide additional candidates until they find the perfect match.
Step 8: Training the Selected Assistant
Based on the information gathered during the debriefing call, the chosen VA undergoes a VA Support Now certified training program to prepare them for their role and ensure they’re ready for their start date.
Step 9: The Kick-off Call
After training, a final call is arranged between the client and the assistant. This serves as a formal introduction and kick-off for the VA’s services.
Step 10: Continuous Support and Management
Each VA comes with a dedicated manager who acts as the point of contact for any questions or concerns the client may have about the assistant. This ensures that our clients can focus on their business while we take care of the management and support of their VA.
